At Right Fit Pilates, LLC, we are committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy explains what we collect, why we collect it, who else can see it, and what you can ask us to do about it.
Information We Collect
You give us:
- First and last name
- Email address
- Date of birth
- Phone number
- Home address, collected on the health questionnaire
- An emergency contact's name, relationship to you, email address and phone number
- Your responses to the health questionnaire
- Your typed signature, your initials, and the date and time you signed each form
- The name or email address of anyone you send a gift card or guest pass to
We create as you use the studio:
- Bookings, cancellations, waitlist entries and class attendance
- Purchases, class credits, credit expirations, and account status
- Notes kept on your account by our staff, which instructors can see on the roster for a class you are booked into
We collect automatically when you visit the website:
- IP address, browser and device type, and the pages you view
- The site you came from, if you followed a link to us
Health and Emergency Contact Information
Before your first class we require a completed health questionnaire. Certain questions must be answered — including whether you are expecting, recovering from childbirth, or living with scoliosis, osteoporosis, or a pain condition — and your account cannot book a class until the questionnaire is complete. Narrative fields, such as your Pilates experience and any additional notes, are optional.
Your answers may describe medical conditions, injuries, joint or spinal conditions, pregnancy or postpartum status, medication, and anything else you choose to tell us. We ask for it only so your instructor can keep you safe and adapt the work to your body.
The health questionnaire requires an emergency contact's name, relationship to you, email address and phone number. We use them only to reach that person in an emergency — please make sure they are comfortable with you sharing them.
Right Fit Pilates is a fitness studio, not a healthcare provider. The information you give us is not a medical record and we are not a HIPAA covered entity — but we treat it as the sensitive information it is.
How We Use Your Information
- To communicate with you about class schedules, bookings, cancellations, studio news and special offers
- To process your payments through Stripe
- To manage your bookings, credits, membership and account
- To keep you safe in class and to tailor instruction to you
- To understand how the website is used so we can improve it
We do not sell, trade, or rent your personal information to third parties, and we do not use it for advertising.
Payment Processing
All card payments are processed by Stripe, a third-party financial services provider. Right Fit Pilates does not store full card numbers and does not have access to your full card details. We can see the card brand, the last four digits, and whether a payment succeeded.
When you complete a purchase, Stripe saves your payment method so the studio can charge fees you have agreed to, such as the $15 no-show fee described in our studio policies. You can view and remove saved cards yourself from Profile, under Manage billing, or ask us to remove one for you.
Cookies and Analytics
We use a small number of cookies and similar technologies. Some are necessary for the site to work at all: keeping you signed in, remembering whether you chose light or dark mode, and remembering an in-progress action if you reload the page. Turning these off would break the booking app.
We also use analytics to understand how the site is used — which pages people visit, how the site performs, and where visitors come from. These services set their own cookies or identifiers and receive your IP address and browser information. We deliberately strip sensitive parts of the address bar before anything is sent, so password-reset links, checkout session identifiers, gift card codes and email addresses are never included.
We do not use analytics to build advertising profiles, and we do not sell or share this information.
Service Providers
We rely on a small set of trusted providers to run the studio. Each one processes information only as needed to support Right Fit Pilates operations:
- Bubble — stores your account, forms, bookings and the signed PDF copies of your forms
- Vercel — hosts the website and booking app, and provides website analytics and performance measurement
- Stripe — processes payments and stores your payment method
- SendGrid — delivers our email
- Google — provides website analytics and the map embedded on our homepage
- Neon — holds short-lived records used to make password resets safe
Who Can See Your Information
Inside the studio, the owner and studio administrators can see your account, your health questionnaire, and the signed copies of your forms. Instructors can see the roster for classes they teach, along with the notes kept on your account.
We do not share your information with anyone outside the studio except the service providers listed above, or where we are required to by law.
How Long We Keep Your Information
We keep your account information for as long as your account is open. Signed forms — the health questionnaire, the policies you agreed to, and the waiver — are kept as records of the agreement you made with us, including after an account closes, because they are what a liability release is for.
Booking and purchase history is kept as long as we need it for accounting and tax purposes. You can ask us to delete information we are not required to keep.
Data Security
We take reasonable precautions to protect your personal information, including secure storage and measures to prevent unauthorized access. The signed copies of your forms are stored with your account: you reach them by signing in, and studio administrators can see them as described above.
No system is perfect. If a breach affecting your personal information occurs, we will notify you as required by Maryland law.
Your Choices
You can:
- Update your name, phone number and birthday yourself, in Profile → Settings
- Change which kinds of email you receive, in Profile → Settings
- Ask us to correct anything you cannot edit yourself, including your email address, your health questionnaire, and anything on a signed form
- Ask us for a copy of the information we hold about you
- Ask us to delete information we are not required to keep for legal or accounting reasons
To make any of these requests, email us at info@rightfitpilates.com. We will respond within 30 days.
Marketing preferences do not affect essential messages. We will still send you booking confirmations, receipts, password resets, and notices about your account or these policies.
Children
Our classes and accounts are intended for clients 18 and older. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will remove it.
Changes to This Policy
We may update this policy as the studio changes. When we do, we will update the date shown at the top. If we make a material change, we will ask you to review and accept the updated version the next time you sign in before booking.
